1. Who we are
FIDEVO/AI LABS LIMITED (company number 17386840, registered in England and Wales) is the data controller for Locarium. If you use Locarium through your employer, your employer decides which workplace data is held in the platform.
2. Data we process
Account details (name, work email address and role), booking records for desks, rooms, parking, lockers and EV charging, vehicle registration details where you choose to add them, delivery records where your site uses that module, and technical logs needed to keep the service secure.
3. Why we process it
To provide the booking service to you and your organisation, to keep the platform secure, to meet our legal obligations, and to produce aggregated utilisation reporting for your organisation.
4. AI-assisted features
Some features, such as booking suggestions, delivery label reading and utilisation forecasting, are AI-assisted. Those outputs are advisory only, and a person reviews them before any policy or space decision is made.
5. Sharing and retention
We share data with service providers who host and support the platform, and with your calendar provider where you connect one. We keep personal data only for as long as your organisation needs it, then delete or anonymise it.
6. Your rights
You can ask for access to your data, correction, erasure, restriction, portability, or object to processing. Contact us through the contact page and we will respond within one month.
7. Changes
If we change this notice we will update the date above and, where the change is significant, tell you inside the platform.
